Data & Consent Policy

How consent is asked for, recorded and withdrawn, and how we separate service messages from marketing.

1. Why this is a separate document

The Privacy Policy explains what we collect and why. This document explains the mechanics of permission: where we ask, what we record, what happens when you say no, and how to change your mind.

2. Where we ask for permission

  • Enquiry and requirement forms — you must agree to be contacted about the enquiry before it can be submitted, because an enquiry with no permission to reply is not a service we can provide.
  • Account creation — you accept the Terms of Use and acknowledge this policy and the Privacy Policy.
  • Marketing — a separate, optional permission, asked for on its own.
  • Identity verification — a separate consent at the point you submit documents.
  • Programme participation — Refer & Earn and Click & Earn record the version of the programme terms you accepted.
  • Vendor onboarding — a declaration with its own version, recorded with the application.

3. Required and optional are never bundled

We treat these as two different things and we never merge them into one checkbox.

  • Service communication is part of the service. If you have an enquiry, an account, a tenancy or a property with us, we will write to you about it. You cannot opt out of a message that the service itself depends on — a visit confirmation, a rent notice, an agreement to sign.
  • Marketing is optional, always. It is never pre-ticked, it is never a condition of creating an account or using the service, and refusing it changes nothing else.

If you do not tick the marketing box, you are not opted in. We do not treat permission to be contacted about your enquiry as permission to market to you, and we do not opt existing customers in when a new marketing capability is added.

4. What we record when you give permission

We record what is needed to show that permission was given, and no more:

  • Which permission was given, and whether it was the required one or the optional marketing one.
  • Where it was given — which form or which part of the product.
  • The date and time.
  • For account creation, the exact version of each document you accepted.

These records are kept as an append-only history. A withdrawal is recorded as a new fact rather than erasing the earlier record, which is what makes the history trustworthy in both directions. Your acceptance of a legal document is stricter still: it cannot be edited or deleted by anyone.

5. Versions, and being asked again

Every legal document on this site carries a version number and an effective date, and your account stores which version it accepted.

If we publish a new version that materially changes your rights or our obligations, you will be asked to review and accept it the next time you sign in. If your account has already accepted the current version, nothing interrupts you — you will not be asked again for a document you have already accepted, and we do not re-prompt because wording was tidied.

6. Withdrawing permission

You can withdraw an optional permission at any time. Write to hello@zenifyhomes.com and tell us what you want to stop, or use the unsubscribe route on any promotional message once promotional messaging is live.

Withdrawal takes effect going forward. It does not undo something already sent, and it does not affect service messages about an account, tenancy or property you still hold with us.

7. Permission on someone else's behalf

Some of our forms let you give us another person's details — referring a property owner, naming a co-tenant, or listing who will live in a home. You may only do that if you have their permission, and by submitting you confirm you do. If we hear from someone that their details were given without their agreement, we will remove them.

The version shown above is the version that applies while it is current. If Zenify publishes a newer version, it applies from that point onward and, where the change is material, you will be asked to review it the next time you sign in.
